Executive Secretary To CEO
Job Purpose: To provide high-level administrative support to the Chief Executive Officer, ensuring the smooth operation of the executive office and facilitating effective communication and workflow.
Key Responsibilities
- Prepare, review, and edit executive-level correspondence, presentations, reports, and official documents; manage retrieval of reference materials as required.
- Conduct research, compile information, and create briefing materials or summaries for the CEO.
- Manage and maintain the CEO's complex calendar, including scheduling meetings, appointments, and travel arrangements.
- Act as a primary point of contact for internal and external stakeholders, screening communications and managing expectations.
- Coordinate and organize board meetings, senior leadership meetings, and special events, ensuring all logistics are handled.
- Maintain confidentiality in all aspects of executive office operations and handle sensitive information with discretion.
- Oversee office administration, including filing systems, expense reports, and procurement of office supplies.
Required Skills & Qualifications
- Experience: Minimum of 3-5 years of experience in an executive secretary or senior administrative role, preferably supporting C-level management.
- Education: Bachelor's degree in Business Administration, Secretarial Studies, or a related field is highly preferred.
- Language Proficiency: Excellent command of both Arabic and English, with superior written and verbal communication skills.
- Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with document management systems and scheduling software.
- Soft Skills: Exceptional organizational and time management abilities; strong attention to detail; proactive problem-solving; high level of professionalism and emotional intelligence; ability to work under pressure and prioritize tasks effectively.
